Understanding Your Address Validation Statuses

Every location in your GovDocs Postings Dashboard displays an Address Validation Status. This status reflects how your location's address validated against USPS and Canada Post postal data, giving you a clear, at-a-glance view of your address data across your entire Labor Law Poster Update Program.

Understanding what each status means helps your team know where to focus attention and feel confident that your location addresses are supporting your compliance program.

Why This Matters for Your Location's Compliance

Labor law poster compliance depends on posters reaching the right location. Address Validation status gives your team a proactive way to identify locations that may need attention, before they become a question mark in your program.

Keeping your address data current and verified is one of the most practical steps an HR or Compliance team can take to support consistent coverage across every location in your footprint.

The Three Address Validation Statuses

✅ Address Validated

The address on file matches USPS and Canada Post postal data and is formatted to their standards. No action is needed for this location.

🔵 User Reviewed

A member of your team has reviewed this address and chosen to keep it as entered rather than adopting the USPS-recommended format. This status indicates a deliberate decision was made to retain the existing address. Note that User Reviewed addresses have not been validated against USPS postal data and will remain as entered in your system and may result in delivery challenges or additional reshipment costs.

🔴 Address Error

USPS or Canada Post postal data was unable to verify this address against postal data. Each Address Error status includes a specific error code that identifies what could not be validated, such as a missing suite number, an unrecognized street name, or an invalid zip code. Locations with an Address Error status are worth reviewing to help ensure your compliance program has accurate, up-to-date address information on file.

The Locations Tab Banner

When your account contains locations that have Address Errors, a yellow banner will appear at the top of your Locations tab. This is a prompt to review your address data, use the Status column filter to quickly find and prioritize locations that need attention.

What Happens When You Click an Address Error

Clicking on an Address Error status opens a popover that shows the specific error found for that location and gives you two options:

  • Edit Address: Opens the address edit modal so you can review and correct the flagged field. The specific field with an issue will be highlighted in red with an inline error message to guide your update. Get guidance on errors with our manual here >>
  • Mark User Reviewed: Marks the address as reviewed without making changes. Use this option only if you have confirmed the address is correct as entered and do not wish to update it. Note that selecting this option means the address remains invalid, which may result in delivery and/or reshipment costs may be incurred.

Editing an Address

When you select Edit Address, a window opens with the location's current address details. Any fields that could not be validated will be highlighted in red with a specific error message beneath them.

You can correct the highlighted field and save, or, if you have reviewed the address and are confident it is accurate as entered, check the box to acknowledge you are moving forward with no address corrections and the address may still be considered invalid by the USPS, as a result there may be issues with delivery and/or reshipment costs incurred.
