Uploads FAQs

This is your go-to reference to understanding the Upload capability with the most common questions answered for you. What it is, how it works and what action to take when errors occur. If you are new to using Uploads, start with Understanding Uploads for a full overview.
General Questions
| What is Uploads? | Uploads is a bulk update capability in the GovDocs Dashboard that lets you update Starting Rates, Tipped Rates, and Location Notes for multiple locations at once using an XLSX file. |
| Which product types does this work for? | Uploads is available for Minimum Wage, Paid Leave, and Postings solutions. |
| Can I use this to add new locations? | No. Uploads is for updating existing locations only. New locations must be added by reaching out to customerservice@govdocs.com or your Customer Success Manager. |
| How do I make sure my data is saved with Uploads? |
Before downloading your Location Data File, filter your Locations tab to only the locations you want to update. You can also delete any columns you don't plan to edit. This prevents accidental changes to Starting Rates, Tipped Rates, or Location Notes you want to keep. Once you upload and confirm, your dashboard data is overwritten with whatever is in the file. |
| What is a Location Data File? | Location Data File is an XLSX generated from your Locations tab. It contains your current location data and is the file you edit and upload when making bulk updates. |
Permissions & Access
| Who can use Uploads? | Any user with access to the GovDocs Platform can use this feature. No additional permissions are required. |
| Can multiple people on my team use this at the same time? | Yes, but coordinate with your team to avoid conflicting updates. The last confirmed submission will reflect the final data. We recommend using a new Location Data File each time you start a new Upload. |
Implementation Questions
| Is this available to all customers? | Yes. Uploads is available to all customers across Minimum Wage, Paid Leave, and Postings product types. |
| Do I need to do anything to enable it? | No setup is required. The feature is accessible directly from your Locations tab. |
Operation & Process Questions
| Do I need to download a new Location Data File every time? | Yes. Download a fresh file each time you run an update. Reusing an older file may contain outdated location data. |
| Can I apply filters before downloading my Location Data File? | Yes, and we recommend it. Apply filters on your Locations tab before clicking Generate your Location Data File. Your file will only contain the matching locations. |
| What columns can I edit in the Location Data FIle? | You can edit Starting Rate, Tipped Rate (where applicable), and Location Notes. All other columns are for reference only. |
| What happens after I upload my file? | The system reviews your file for errors. If errors are found, the upload is rejected with a list of issues to correct. If the file passes, you are prompted to confirm before any data is saved. |
| Can I cancel after uploading but before confirming? | Yes. No changes are saved until you confirm your submission on the confirmation screen. |
| What columns can I edit in the Location Data File? |
When editing Posting and Paid Leave locations, you can edit the Location Notes. For Minimum Wage Uploads, you can edit Starting Rates, Tipped Wages, and Location Notes. |
Troubleshooting Questions
| The Upload button is not showing on my Locations tab. | Confirm you are on the Locations tab and viewing the correct product type. If you still cannot see it, contact your Customer Success Manager. |
| My file was rejected. What do I do? | Review the error summary in the Upload process. It identifies which rows have errors and what type of error was found. Correct those rows and re-upload. |
| Why is my file being rejected even though the format looks right? | Make sure the file is saved as XLSX. Also check that you have not added, removed, or renamed any columns from the original Location Data File? |
| I see a review error for a row that looks correct to me. | Common causes include invisible characters copied from another system, numeric values entered as text, or rate fields left blank. Review the specific error message for that row carefully. |
| I uploaded and confirmed, but I made a mistake. What can I do? |
Once a submission is confirmed, changes are applied immediately. Download a new Location Data File, correct the affected rows, and upload again. Or, if it's one location, you can edit that location manually by clicking the pencil icon. |
Technical Questions
| What file format is required? | XLSX only. CSV, XLS, and other formats will not be accepted. If you work in Google Sheets, export your file as XLSX before uploading. |
| What happens to data I do not change in the Location Data File? | Only rows with updated values are written to your account. Rows without changes are processed but do not overwrite existing data. |
| Why does my Tipped Rate column not appear? | Tipped Rate columns appear only for product types where they are applicable. If you do not see this column, it is not relevant to your current upload type. |
