The Grid Best Practices for Corporate Users

What is The Grid?

👉🏻 Why It's Important: The Grid helps you stay ahead of compliance changes by providing a monthly summary of all upcoming labor law poster updates, so you can plan, communicate, and audit with confidence before shipments arrive.

The Grid is a monthly communication from GovDocs and tracking tool within the Postings Dashboard. It provides an outline of affected states, counties, and cities where locations will need to display new posters within the next 30 days.

It’s sent directly to GovDocs Update Program users on the last business day of each month, helping you prepare for upcoming poster shipments and changes before they occur.

Core Purpose

The Grid’s purpose is to:

  • Keep corporate teams proactively informed about upcoming updates
  • Simplify internal communication with location managers
  • Support auditing routines and monthly compliance checks
  • Integrate with other auditing tools like PosterCheck™ and the Subscription Audit Report

In short, the Grid connects the dots between GovDocs’ automated compliance system and your team’s monthly compliance workflow.

🗣️ Save Time: Pre-Drafted Employee Communications

Each monthly Grid includes ready-to-send employee communication templates designed to simplify internal coordination between corporate HR and location-level managers.

These pre-drafted communications:

  • Summarize jurisdiction-specific poster updates — outlining what’s changing, why, and when.
  • Provide clear, compliant language for notifying your field teams about new or updated posters.
  • Save time by eliminating the need for corporate teams to draft their own messages for each state or jurisdiction.
  • Ensure consistency in how compliance updates are communicated across all locations.

Tip: Use the Subscription Audit Report to create email lists based on locations with postings in state, county, and city jurisdictions to streamline communications.
